Artist Exhibition Reservation Policy
All Camp Fluff artist exhibition reservations are for event participation services and are not physical products eligible for return.
Exhibition Reservations
All artist exhibition reservations made for Camp Fluff or associated events are non-refundable. Once payment is received, the artist’s exhibition space is secured and removed from availability for other participants.
Because each exhibition has limited space and requires substantial curatorial, production, staffing, venue, and marketing commitments, Camp Fluff cannot provide refunds, transfers, or credits for artist-initiated cancellations or changes. This includes scheduling conflicts, personal circumstances, travel disruptions, illness, failure to prepare artwork, or changes in an artist’s availability.
Artist Marketing Requirements
Camp Fluff’s promotional process depends on artists submitting complete, accurate, and usable marketing materials by the deadlines provided.
Required materials may include:

Completed artist marketing folder

Artist biography and statement

High-resolution artwork images

Artist photograph or headshot

Artwork titles, dimensions, mediums, and prices

Website and social media information

Installation details and other requested forms
Artists are responsible for reviewing all instructions and submitting their materials by the communicated deadlines. Submitting incomplete, inaccurate, inaccessible, or low-quality materials does not satisfy the submission requirement.
Missed Marketing Deadlines
Camp Fluff may begin its marketing campaign before every artist has submitted their materials. Artists who miss a marketing deadline may receive reduced promotional coverage or may not be included in certain artist features, social media posts, email campaigns, press outreach, printed materials, website updates, exhibition guides, or other promotional opportunities.
Camp Fluff cannot guarantee that late materials will be added after promotional content has been designed, scheduled, published, printed, or distributed.
Failure to submit marketing materials does not cancel the artist’s reservation and does not qualify the artist for a refund, transfer, credit, fee reduction, or extended promotional period.
Essential Participation Requirements
Artists must also complete all required participation forms, artwork information, installation instructions, releases, and other operational requirements by the deadlines provided.
If an artist fails to complete an essential participation requirement after receiving written notice and a final deadline, Camp Fluff may be unable to include the artist or particular artwork in the exhibition. In such circumstances, the reservation remains non-refundable to the extent permitted by law.
Marketing and Sales Expectations
Camp Fluff will make reasonable efforts to promote the exhibition and participating artists. However, participation does not guarantee a specific number of promotional posts, event attendees, media placements, inquiries, artwork sales, or other commercial results.
Camp Fluff retains reasonable editorial discretion over the format, timing, selection, and presentation of promotional content.
Event Rescheduling
If Camp Fluff must reschedule an exhibition, each affected artist’s reservation will remain secured for the replacement date. Artists will be contacted directly with the updated date and participation instructions.
If an artist cannot attend the replacement date, Camp Fluff will provide the participation options available for that specific event. These options may include transferring the reservation to another eligible Camp Fluff exhibition or receiving an exhibition credit. Cash refunds for rescheduled events will only be provided when stated by Camp Fluff or required by applicable law.
Event Cancellation
If Camp Fluff cancels an exhibition without providing a replacement date or comparable participation option, affected artists will receive a refund of the exhibition reservation fee, unless an alternative arrangement is accepted by the artist.
Camp Fluff is not responsible for separate costs incurred by an artist, including travel, lodging, shipping, framing, printing, preparation, or other third-party expenses.
Agreement
By submitting payment, the artist confirms that they have reviewed, understood, and agreed to this policy, including the cancellation, marketing submission, participation, rescheduling, and promotional provisions.
